How to Set Up Your FFL Electronic Bound Book
Why Switch to an Electronic Bound Book?
Paper bound books are error-prone, hard to search, and difficult to back up. An electronic system gives you instant search, automatic ATF compliance, correction tracking, PDF generation, and secure cloud backups.
Step 1: Create Your Account
Sign up at logbooksforguns.com and select your account type. The system adapts to your specific license type:
- Dealer (Type 01/02) — Full A&D with Form 4473, NICS tracking, and disposition management
- Manufacturer (Type 07/10) — Includes date of manufacture, SKU/UPC fields, and order tracking
- Importer (Type 08/11) — Adds country of manufacture and import permit fields per 27 CFR 478.122
- Collector/C&R (Type 03) — Simplified layout with DoB and identification fields per 27 CFR 478.125(f)
- Personal — Basic inventory tracking for private collections
Step 2: Set Up Your Books
Create separate books for different categories — for example, "Handguns" and "Long Guns", or organize by location. ATF does not mandate a specific book structure, so organize in whatever way makes sense for your business.
Step 3: Enter Your Inventory
For each firearm in your existing inventory, create a receipt record with all required fields. The system auto-saves common values (manufacturers, calibers, types) so subsequent entries are faster.
Step 4: Configure Your Settings
Set up your frequently used values in Settings:
- Manufacturers — Auto-complete list of manufacturers you receive from
- Calibers — Common calibers for quick entry
- FFL Dealers — Save your regular transfer partners with FFL numbers for one-click fill
- Contacts — Full address book with FFL expiration tracking
Step 5: Notify Your ATF Area Office
Per ATF Ruling 2016-1, Condition 10, if you are using cloud-hosted software, notify your ATF Area Office within 30 days. Keep a copy of the notification for your records.
Tips for a Smooth Transition
- Start entering new acquisitions electronically on a specific date
- Keep your paper bound book for all records prior to the transition date
- There is no requirement to back-enter paper records into the electronic system
- Generate and print your bound book PDF regularly as a backup
